Greets all visitors in a friendly, courteous and professional manner as per the First Impressions manual. Encourages visitors to "sign-in" at reception desk. Notifies residents of visitors. Instructs resident's visitors according to the resident's instructions. ▪ Answers all incoming telephone calls in a courteous and professional manner. Routes telephone calls and takes accurate messages, as appropriate and provides call recipient with call notification. ▪ Communicates clearly and is easily understood. ▪ Demonstrates exceptional customer service skills while performing all job tasks, including answering telephone, greeting guests and residents, recording maintenance requests. ▪ Serves as an ambassador of goodwill to all who enter the community. ▪ Promptly and efficiently transfers all prospective resident or admission inquiries to the Marketing team, Executive Director or call tree as appropriate. ▪ Maintains a professional appearance, manner, and approach while on duty. ▪ Maintains appropriate levels of confidentiality and observes residents’ rights. ▪ Demonstrates work habits that support the organization's mission to create and maintain distinctive, service-enriched housing environments for America’s senior population. Supports the community's programs to encourage resident independence, well-being, and opportunity for personal growth. Rev. 1/29/2019 Secondary Duties and Responsibilities: ▪ Ensures the provision of high quality services and service delivery to residents. ▪ Works in harmony with all staff members in sharing the responsibilities for delivering resident services Distributes mail, packages, etc. to appropriate personnel. ▪ Assists residents with general office needs, i.e. postage, copies, faxes, notary public, etc. ▪ Completes daily check of residents. ▪ Monitors the Emergency Response System. Reports emergencies to the proper authorities and notifies family members and staff. In absence of any administrative personnel, responds to personnel emergencies communicated by Emergency Response System per procedures. ▪ Enters and maintains current information on Emergency Response system. ▪ Maintains, updates and files emergency data/ contact information cards for all residents. Keeps information at front desk. ▪ Performs cash transactions on shift and reconciles cash at beginning and end of shift. ▪ Accepts payments from residents and forwards to Business Manager. ▪ Responsible for the checking out and signing in of keys. ▪ Writes up maintenance and housekeeping requests. ▪ Schedules and maintains records of usage and availability of the Guest Suite. ▪ Assists in performing any special projects assigned to the front desk. ▪ Assists with the distribution of monthly resident statements. ▪ Types daily dinner menu specials. ▪ Prepares flyers for special activities and events as needed. ▪ Updates resident and employee lists as needed to keep current. ▪ Observes for changes in residents’ conditions and reports changes to Executive Director.
